Separation from the UTHSC-H HR


POLICY OVERVIEW

The University of Texas Health Science Center at Houston (UTHSC-H) will provide an efficient and supportive process for employees who are ending their association with the university and will assist departments in identifying the issues that must be addressed when an employee separates.

Included in the separation process for employees are exit interviews, provided by benefits staff, intended to advise and inform the separating employee of benefit coverage and conversion information for group health and life insurance (COBRA rights), retirement programs, and any other information relevant to the individual's changing employment status. The employee will also use this interview to finalize arrangements for the delivery of his or her final paycheck. Although not required, exiting employees are encouraged to consult with a Human Resources (HR) advisor to share job-related insights. Constructive reviews of this kind may help improve the work environment.

PROCEDURE

Department personnel should refer to policies included in the Handbook concerning separations, and should ensure that all procedural requirements are addressed on or before the last day of employment. Guidelines for Departments Regarding Separating Employees is intended as a quick-reference document that departments may use to facilitate the separation process, or the form may be used as a basis for a department to establish its own check-out process. Exit interviews with benefits should be scheduled to occur during the last week of employment and will be conducted by a benefits representative. If the employee does not meet with a benefits representative, a packet of materials will be mailed to the employee.
